Project Manager – Grant Administration (2 Year Contract)

The Opportunity

We are looking for a central point person or project manager with the primary focus on administration of EWB’s government grant agreement(s) and potentially other VIP funders. Your responsibilities include understanding the funding agreement(s), and ensuring the organization is in full compliance. You should have a background in cross- team coordination, project management, budgeting and analysis with a sound understanding of financial processes. You are skilled at getting the best out of the people and projects that you oversee and not afraid to get into the details. You thrive when planning projects and working with project teams on execution. This role will work closely with a member of the Leadership Team to make sure that the project is meeting objectives on schedule, as well as collaborating with other teams to unlock success.

  • Start date: Mid May 2018
  • Position: Contract ending June 30 2020 with the option for renewal

Responsibilities

Project Management

  • Manage relationship between external partners and internal teams;
  • Full understanding of grant agreement and ensure all implicated teams have full understanding of their responsibilities;
  • Ensure all reports (financial and narrative) are completed and submitted on time and in accordance with our agreements, coordinate with relevant teams to compile report;
  • Create processes and structure to manage continuous refinement of efforts, improving delivery of our agreement while making life easier for our teammates;
  • Put agreed-upon ideas and direction into action, ensuring clear ownership and accountability; drive for clarity and speed of decisions in the face of challenges and conflicting priorities;
  • Coordinating the submission of follow-on funding applications.

Compliance

  • Educating and training employees on compliance with our funding agreements;
  • Working with EWB’s bookkeeper to ensure financial processes are in place to support our reporting processes;
  • Compiling financial reporting for funding agreements in accordance with the agreement;
  • Internally reviewing, approving and auditing EWB’s processes, practice and reports related to our funding agreements on an ongoing basis;
  • Building and implementing new processes and practices, identifying where we’re currently falling short on compliance with our funding agreement;
  • Preparing and reviewing annual funding agreement budgets;
  • Collaborate with external auditors when needed.

Required skills

The successful candidate will be an all-star: adaptive, fast-paced, incredibly organized and hardworking, and able to coordinate cross-organizationally to deliver on project objectives.

The following skills, experiences and knowledge will help:

Minimum qualifications

  • Bachelor’s degree or equivalent;
  • Experience in program management or 3-5 years of relevant work experience;
  • Strong financial skills encompassing agreement expense tracking, budget creation and monitoring, financial reporting. 2-3 years minimum experience.

Preferred qualifications

  • Demonstrated success in dissecting problems, developing ideas, and getting results;
  • Excellent project management skills and analytical ability. With a minimum of 3-5 years experience. Preference for candidates working towards PMP certification;
  • Ability to manage multiple priorities at the same time;
  • Ability to coordinate between multiple teams to deliver project aims and objectives;
  • Experience of working in a global team and distance support;
  • Experience with Global Affairs Canada (GAC) reporting strongly preferred or experience with other Government of Canada funding agreements;
  • Strong written and verbal communication skills. Bilingualism (French/English) strongly preferred.

  • Taking initiative and proactively seeking out creative solutions to challenges;
  • Responsive and flexible in managing a high paced, fast-changing environment, working well under pressure and prioritizing many ongoing projects;
  • Ability to communicate complex information simply, effectively and appropriately, to a wide range of people, both verbally and in writing.

General office environment, typically 9 a.m. to 5:30 p.m. with varied hours as required by meetings, events and other initiatives.

Compensation

Salary commensurate with experience. All employees are provided with a comprehensive health/dental benefit package, Professional Development allowance and 3 weeks of vacation each year.
